How to compare heating and cooling replacement proposals

Use the free quote comparison worksheet ↓

Look beyond the equipment name and quoted total when comparing HVAC proposals.

Ask how the system is selected

Ask how each contractor determines heating and cooling requirements and how existing ductwork or distribution affects the design. A proposal based only on the old unit’s size may leave important questions unanswered. The site cannot size equipment or choose a system for your home.

Compare complete installed scopes

List indoor and outdoor equipment, controls, distribution work, electrical or fuel work where applicable, removal, permits, inspection coordination and cleanup. Ask who handles any exclusions. Compare written model numbers and scopes rather than brand names alone.

Separate confirmed offers from assumptions

If a proposal mentions a rebate, discount or incentive, verify current eligibility and timing with the program administrator before relying on it. This site does not quote incentive amounts or promise qualification. Confirm whether a price assumes financing or other conditions.

Understand follow-through

Compare installation timing, commissioning or startup checks, maintenance obligations, parts and labor warranties and the process for post-installation concerns. Ask who registers the equipment warranty and what documentation you will receive.

Compare up to three written estimates

Enter the details from your proposals, then download your comparison as a CSV file. Entries stay in this browser tab and are not submitted to Home Service Match. Download before closing the page; this worksheet does not save your entries.

Check the contractor before comparing prices

Ask how the system was sized

A proposal should explain the home evaluation behind the equipment recommendation. Ask how comfort problems, insulation, windows and existing ducts were considered. Compare written equipment details, installation scope and warranty terms alongside the price. ENERGY STAR’s contractor hiring guide explains why these questions matter.
